How CAAT Works
Cumulative Summary Method
CAAT scans a Google Drive folder, reads each new or changed file once, and has Claude produce a per-file summary and writes them to CAAT's database. CAAT also gathers all action items and stores them as well. There is a 50,000 character limit per document which is approximately 15 pages of text. The ingestion will be truncated for documents longer than that.
At the end of every scan CAAT uses the cumulative file summaries with the most recently generated final summary to ensure complete and current context. Each scan carries forward context from prior scans without re-reading files it has already read. Action items are deduplicated across scans, so the same task never lands in Asana twice.
Editing the summary adds the changes to the context of the cumulative summaries moving forward.
Access Required to Use the Scan Button
Scans are not limited to the owner of a workstream. The currently logged in user must have read access to the workstream's source folder in order to scan a workstream.
Inviting Asana Org Members
People with teampeople.tv emails AND who are members of the Asana Team People workgroup can be added to a CAAT workstream.
People whose email is in the Asana organization (@teampeople.tv) and are not a member of the Team People Asana workgroup cannot be added by the CAAT system — doing so would consume a paid Asana seat. To add people with this status, add them to the CAAT workstream config, then add them in Asana manually. Once they are added in Asana, CAAT will automatically switch their status from Pending to Active the next time the Manage Access panel is loaded.
Inviting Asana Non-Org Members
Everyone else — including @dreamtek.tv and outside addresses — can be added to the CAAT workstream and will automatically be added to the Asana Team People workgroup as a guest (no seat or license required).
Auto Sync with Asana
Action items in CAAT and Asana are automatically synced when using the CAAT app. Workstream members are automatically synced from Pending to Active or from Active to Removed based on the current member list in Asana.
